# e-signatures Request

This is a feature that allows you to collect e-signatures on a document in Docufree if you are licensed for it.

Note

This feature currently only supports e-signature (attached electronic symbol) and not digital signature (certificate-based signing).

Only the following file types are supported for signature requests:

  • Office files (.doc/.docx/.pptx/.xls/.xlsx)
  • Image files (.tif/.png/.jpg)
  • PDF files (.pdf)

Note

When a request is made the file will leave Docufree and come back as a new file after all signatures have been collected. The original file is not changed.

# Requesting with a File

You can make a signature request by using the Share->Request Signature menu item while in the file viewer. A new window will open containing three panes like below. The three panes are request options to the left, preview and optional field placement in the middle, and field properties to the right.

The Files section shows the file being requested. An error will display here if the file is not supported.

The Signers section allows you to define recipients who will receive email to sign the document. All recipients defined here will be working on the same document (except when using bulk requests).

The Email section specifies the notification email subject and message sent to the recipients. There are additional checkboxes below for request behavior flags.

Note

You can put signature fields either by manually drawing it on the document (using the signature field tool in the preview area) or by using a generated signature page that will be appeneded to the document. Flag for using the signature page is a checkbox here.

The Attachments section specifies any additional files that the recipients should provide.

# Preview and Fields

On top of the document preview is a set of buttons for zooming in/out the previous and place additional form fields for recipients to fill.

Preview Buttons

These are the supported fields:

  • Signature - where signature image will be placed.
  • Initials - similar to signature image but can start off with initials as value.
  • Sign date - a textbox that will automatically be filled by the current date when recipient clicks on it.
  • Text - a textbox for recipient to enter text.
  • Checkbox - a field where you can place one or more checkboxes.
  • Radio - a field where you can place one or more radio buttons.

Note

The preview defaults to having all fields locked. Click on the Lock icon to toggle it and you will be able to move/resize fields when it's unlocked.

# Field Properties

Fields needs to be assigned and optionally named. Clicking on a field in the preview will display its properties in the panel to the right as below:

TIP

All fields must be assigned to a recipient. If a document has multiple fields with a single signer you can click the Apply all button to make all unassigned fields the same recipient.

# Requesting with a Template

It is possible to use a template to start a new request. Refer to the Template topic for details, but the result is a similar screen as before.

# Bulk Request

Normally multiple recipients all work on the same document in a request, but sometimes it's more useful to have each recipient work on its own copy of the document instead (e.g. a company-wide notice).

To send a bulk request start the requesting process normally but check the Bulk mode checkbox in the Signers section. You can then choose to type in each recipient manually or use a csv file with recipient name and addresses (each on its row). Use the Paste button to import the csv file. The rest of the request process is the same.

Note

A bulk request can only have one logical recipient. (i.e. the document can only have one signer). This also means you cannot send bulk requests for templates with multiple roles.

You also cannot use the pre-generated signature page with bulk requests.
