# Other Capture Methods

The Capture Center allows Docufree users to upload their own files, but there are times when files from external parties need to be captured into Docufree as well. This page describes the supported methods of these automatic captures (i.e. they don't require Capture Center).

Note

some of these methods may not be available to you depending on your licensed features.

# Emails

Rather than having the users upload emails manually, it's possible to capture emails and attachments using the designated docufree email addresses. These are outlined below.

# Sending email to your docufree inbox

A Docufree user can send an email from their email system to their Docufree inbox. This can be accomplished when

  • the From address is the docufree user account, and
  • the To address is the docufree client account.

Example

Annie from AnyCompany wants to send an email to her Docufree inbox so it can be shared with others and associated with a Docufree document. This works if the email is sent with the following headers:
From: annie@anycompany.com
To: [site-code]@[site-code].godocufree.com

# Sending email to the default docufree inbox

A non-Docufree user can send an email from their email system to the default Docufree inbox. A default inbox is tied to a user and is set up during implementation.

Example

Betty wants to send an email to Docufree so it can be shared with others and associated with a Docufree document, but she is not a Docufree user. She sends the email with the following headers:
From: betty@anycompany.com
To: [site-code]@[site-code].godocufree.com
Since the From address does not match Betty as a Docufree user in the AnyCompany site, the email is placed in the default Docufree inbox.

# Sending email to a docufree folder

Anyone can send an email from their email system to a specific Docufree folder location when the email is sent to a particular address.

Example

All emails received at AP.Invoices@[site-code].godocufree.com should go directly to the Invoices folder location.
All emails received at Loans@[site-code].godocufree.com should go directly to a Loan folder location.

To capture emails into a specific Docufree folder:

  1. Request that an email address be set up to capture email into Docufree by contacting Support at 1-877-515-0774 or support@docufree.com.

  2. Support will ask you to provide the following information:

    • The email address, each email address must be unique and cannot be the email address of a Docufree or Outlook user
    • The Docufree folder location where the emails received will reside
  3. Your Docufree implementation team will then complete the following:

    • Set up the email address in Docufree
    • Associate the email address to the folder location in the folder's Email and Fax Setup fields
  4. Once the above is successfully completed then emails received at this address will automatically be placed in the specified folder location.

# Faxes

A fax can be from anyone and sent to a specific Docufree folder location, but must be sent to a specific fax number set up in Docufree.

Example

All faxes received at (321)-555-4567 should go directly to an Invoices folder location.
All faxes received at (432)-555-8543 should go directly to a Loan folder location.

To capture faxes into Docufree:

  1. Request that a fax number be set up to capture faxes into Docufree by contacting Support at 1-877-515-0774 or support@docufree.com.

  2. Support will ask you to provide the following information:

    • The area code you want to use for the fax number
    • The Docufree folder location where the faxes received will reside
  3. Your Docufree implementation team will then complete the following:

    • Create a unique fax number using our fax service
    • Associate the fax number to the folder location in the folder's Email and Fax Setup fields
  4. Once the above is successfully completed then faxes received at this number will automatically be placed in the specified folder location.
